When can I set up and take down my stand?

Stand set up takes place between 0700 and 0900 on the morning of Monday the 20th of April. Stands can be taken down from 1300 on the Tuesday afternoon of the 21st April.

What is the fee for having an exhibition at the conference?

The exhibition fee is 5400 NOK. This fee covers one exhibition stand and a day fee for both days for one person. The day fee covers lunches, coffee etc. Additional persons cost 700 NOK each day.

What is the cancellation policy for this conference?

Cancellation deadline without being charged for your registration is March 30th.

Sponsor packages:

Main Sponsor: Includes a double exhibition stand of your choice including 2 participants, a large logo printed on the conference folder, sponsorship of the reception drinks Monday afternoon, banner on the conference webpage and marketing material in the conference folder.

There will be 4 additional sponsors that will have their logo printed on the conference folder, their logo on conference webpage and marketing material in the conference folder.

How much space do I get as an exhibitor?

Every exhibitor will be assigned a 1,75m*1,75m space.

Exhibition space will be allocated on a first-come, first-served basis, depending on when the registration was made. Sponsors have priority when choosing exhibition stands. More information about allocating exhibition space will follow: How can I choose my preferred exhibition stand?

What furniture is available?

The following furniture will be provided for all exhibitors:

  • a table (dimension: 120cm * 45cm, height: 72cm)
  • two chairs
  • panel screen

Will there be internet connection?

Wireless internet connection is available.

Do I get access to an electricity source if I need one?

Yes, we will provide access to a power socket if needed.

How is the layout of the exhibition venue?

How can I choose my preferred exhibition stand?

The following procedure will be used to assign exhibition stands:

  • the main sponsor will be given the first option to pick the stand of their choice
  • the additional sponsors are requested to send us a list of three stands in order of preference
  • after all sponsors have been allocated their stands, the remaining registered exhibitors will be requested to provide a list of three prefered stands in a prioritized order.
  • The exhibitors not sponsoring the conference will be contacted according to the date registered for the conference and asked to choose an available stand.

We will start this procedure a few weeks before the conference.

Can I send my exhibition equipment to the hotel prior to the conference?

Yes, that is no problem. There is however one very important thing to note when it comes to sending equipment to the hotel. Norway is not a member of the European Union, meaning that when you send from abroad, you need to make sure that you pay the custom charge to get your package in to Norway. A documentation that the custom charge is paid should be sent by email to teigen@bristol.no. If the hotel does not receive this documentation, the package will be returned to sender.
